SIM Trans — From Excel-Based Operations to a Connected Business System.

Built around how the business actually works.

SIM Trans is a UAE-based translation and language services company with multiple teams involved in sales, project management, operations, vendors, delivery, and finance. Before the project, much of its day-to-day operation depended on Excel-based workflows. The goal was not simply to introduce an ERP — it was to build a system that reflected how SIM Trans actually operates. Merdigit implemented it on Odoo Community with custom applications, so the implemented solution required no recurring Odoo Enterprise subscription.

The Business

A language services company running on spreadsheets.

SIM Trans is a translation and language services company with multiple teams involved in sales, project management, operations, vendors, delivery and finance. Before the project, much of its day-to-day operation depended on Excel-based workflows.

The Challenge

The business outgrew its spreadsheets.

SIM Trans needed a system that could bring its processes together without forcing the business to abandon the workflows that already made sense for its operation.

  1. 01

    Scattered information

Information was distributed across different Excel files and teams.

  2. 02

    Unclear ownership

Job status and ownership were not always clear.

  3. 03

    Disconnected teams

Sales, project management, operations and finance were not working through one connected workflow.

  4. 04

    Manual handoffs

Moving a job from quotation to execution required manual coordination.

  5. 05

    Hard to trace

Following a job across quotations, projects, tasks, purchase orders and invoices was difficult.

  6. 06

    Limited visibility

Management needed better visibility into ongoing work and business performance.

The Approach

Understanding the business before building.

The implementation started with business discovery rather than development, so the system evolved around the real business process instead of forcing the business into a predefined ERP workflow.

Before building

  1. Business discovery
  2. Process analysis
  3. Requirements
  4. Review
  5. Refinement
  6. Implementation

Every phase

  1. Build
  2. Review
  3. Feedback
  4. Refine
  5. Validate
  6. Next phase
The Operational Lifecycle

From the first lead to revenue reporting.

The system connects the lifecycle from the initial customer relationship through commercial activity, execution, delivery and financial reporting.

  1. Commercial

    • Lead
    • Opportunity
    • Quotation
    • Execution authorization
  2. Execution

    • Project
    • Jobs
    • Tasks
    • Vendor assignment
  3. Delivery & finance

    • Delivery
    • Revenue & reporting
Sales → Project

Commercial activity flows straight into execution.

A quotation can lead into the corresponding project and operational tasks, while the responsible Project Manager is connected to the workflow through the implemented assignment logic — removing unnecessary manual coordination between Sales and Project Management.

  1. Quotation
  2. Execution authorization
  3. Project
  4. Project Manager assigned
  5. Operational tasks
Custom Job Code

One code follows the work from quotation to invoice.

SIM Trans needed a consistent way to identify and trace work across the business. Merdigit implemented a custom Job Code that connects the relevant commercial and operational records.

Example format MA1-19926 Built from the responsible salesperson's initials and the task/date sequence, according to the implemented business rule.
  1. MA1-19926Quotation
  2. MA1-19926Project
  3. MA1-19926Task
  4. MA1-19926Purchase Order
  5. MA1-19926Invoice

Quotation → Project → Task → Purchase Order → Invoice

Key Capabilities

What the system does.

The Licensing Approach

The required system, without Enterprise subscription costs.

With a large number of employees, Odoo Enterprise subscriptions for the required users could create a significant recurring annual licensing cost.

The Result

A business system built around the real operation.

  1. 01

    One connected business system

SIM Trans moved from a heavily Excel-driven operating model toward a centralized business system connecting its major operational workflows.

Centralized customer and sales information and standardized quotations lead into connected project and task execution, with structured vendor assignment.

  3. 03

    Traceable work

Unified Job Code tracking connects the commercial and operational records of every job.

  4. 04
